Ask when the venue needs its space back
Give the event hours and the separate time by which equipment must be removed. Include any restrictions on supplier entry after closing or on the following day.
If the removal window is still being negotiated, say so. A rental enquiry should not silently turn a preferred collection time into an appointment the provider has confirmed.
Choose equipment with the full stay in mind
Discuss where the facilities remain between delivery, use and pickup. Make sure the property controller approves the position for that whole period, not just while guests are present.
For trailers, check utility and entrance arrangements; for cabins, include washing and accessible provision. All equipment needs an appropriate user route and a review of receiving access.
Keep a closing contact available
Name someone who remains responsible after other suppliers and organisers leave. Give them the accepted equipment details and a way to communicate any last-minute access change.
For a Lauderdale-by-the-Sea enquiry, send the precise venue address and use period. This guide does not imply beach placement permission, a venue partnership or an accepted delivery route without individual review.
