Describe the gathering in plain terms
Explain whether the activity is private, public or limited to a particular group. Give the expected pattern of attendance and any people who need facilities during setup or closing.
Identify the organiser and the property controller. They may be different parties, and permission to hold an activity does not automatically settle every equipment position or receiving instruction.
Review the facilities already available
Ask which permanent toilets are included for your group and whether they remain usable for the full schedule. Do not assume a neighbouring venue shares facilities simply because it is close.
Discuss the temporary equipment category, washing and access needs. Put the proposed positions into the organiser’s layout while there is still room to adjust other activities.
Set an equipment timetable
Give the receiving window and collection requirement separately from the event’s public hours. Clarify how entry works when staff or volunteers are no longer on site.
For an Oakland Park occasion, distinguish the details already approved from those still provisional. Confirm the final scope through the rental conversation before presenting it as a booked arrangement to other suppliers.
